Sending QR Codes to Print: A Pre-Flight Checklist
Vector or raster, CMYK surprises, bleed, and the test that catches almost everything, before you commit to a print run.
Reprinting 5,000 flyers because the code will not scan is an expensive way to learn pre-press. This checklist takes ten minutes and prevents nearly all of it.
Send vector whenever you can
SVG (or a PDF containing it) scales to any size with perfectly crisp module edges. A raster PNG has to be generated at the final print resolution, and a code scaled up from a small PNG gets soft edges that blur the boundary between modules, precisely the boundary the scanner is looking for.
If the printer insists on raster, supply at least 300 DPI at final size, and make sure the module edges land on whole pixels rather than being resampled into grey fringes.
Watch the CMYK conversion
The classic trap. A code designed in RGB with a vivid brand colour can convert to CMYK as something noticeably lighter, dropping contrast below the scanning threshold. Convert to CMYK yourself, look at the result, and re-check contrast after conversion rather than before.
Related: build the dark modules from a rich black or a solid dark spot colour, not from a four-colour mix that can misregister. Slight misregistration on a fine grid produces coloured fringes around every module.
Protect the quiet zone at layout stage
Four modules of clear space on all sides, and it must survive trimming. If the code sits near a trim edge, account for cutting tolerance: a few millimetres of drift is normal, and a code that loses its margin to the guillotine is a code that does not scan.
Choose the material deliberately
Matte beats gloss, consistently. Uncoated stock beats laminated for scanning, though laminate wins for durability outdoors; pick based on which failure you care about. Avoid placing codes on a fold, a seam, or a curved surface tighter than a drinks can; curvature distorts the grid.
For textiles, expect ink spread and size up by 25% or so, with error correction at Q or H.
Raise error correction for anything that will be handled
Level M is fine for a clean flyer. Level Q or H for menus, packaging, outdoor signage, anything with a logo, and anything that will still be in service in a year.
The proof test that catches everything
Ask for a physical proof, or print one yourself on the actual material at the actual size. Then:
- Scan with at least two phones, including one that is a few years old.
- Scan under the real lighting: dim restaurant, bright street, fluorescent office.
- Scan at the real distance and at an angle, not just square on.
- Confirm the destination loads correctly on mobile, not just that the code decodes.
If all four pass, the run is safe. If any fail, the fix is nearly always size, contrast, or quiet zone, in that order.
Never approve a large print run on screen alone. Print one proof on the final material, at final size, and scan it with two phones under real lighting, a five-minute check that prevents an expensive reprint.
